Presenter Information

Podium Presentations

Each presenter will be given 15 minutes to present; there will be an additional 15 minutes allocated at the end of each session for discussion and questions. Presentations can be given in person or remotely. Remote presentations must be previously arranged with the session and conference organisers and indicated at the point of abstract submission.

Submission of presentations

To ensure a smooth technical experience for all presenters and sessions, we require all session organisers to submit all presentations associated with their session in advance at our dedicated Presentation Drop-Off Desk.

If you are presenting remotely, we require you to deposit a copy of your presentation in both power point and PDF format, in case of on-the-day technical issues. Please liaise with your session organisers to send the files.

Here’s the procedure for submitting your presentation:

Information For Presenters:

Your session organiser will contact you to ask for your presentation. They will then compile all session presentations and submit them in person at the SAfA 2025 Presentation Drop-Off Desk 1 day before the session. Please liaise with your session organiser so that they have the most up to date presentation at least 1 day before your session.

If you have any urgent questions regarding your presentation file before arriving at the conference, please contact SAfA 2025 on safa2025@ualg.pt with the email heading PRESENTATION FILE.

Information For Session Organisers:

Please make sure you have been in contact with all presenters in your session and have received their presentations at least 1 day before your session. Please make sure that these presentations are working correctly and liaise with your presenters if there are any issues identified.

You will need to deposit all presentations at the SAfA 2025 Presentation Drop-Off Desk.

  • Location: Please visit the Presentation Drop-Off Desk located at the Registration Area.
  • What to Bring: Please bring all presentation files on a USB flash drive or external hard drive.
  • File Naming: To help us organize and quickly identify all presentations for your specific session, please rename the presentation files before coming to the desk using the following format: Session_[Your Session Number]_Pres_[Presentation Number]_[Surname].pptx

Example: If your session is 26 and your last name is Jones, your file name would be Session_26_Pres_2_Jones.pptx

(If your presentation is not a .pptx, please use the appropriate file extension, e.g., .ppt. We strongly recommend using .pptx)

  • At the Desk: Our volunteers will assist you in copying all files to our conference system. They will quickly check your presentation to verify that it displays correctly, including checking fonts and any embedded media (videos, audio). Please be prepared to briefly review it with them.
  • Recommended Deadline: We strongly encourage you to submit your session presentations at the Drop-Off Desk at least the day before your scheduled session. This allows enough time for file transfer and verification
  • What Happens Next: Once submitted and verified, all presentation files will be transferred to the computer in your assigned session room, ready for your scheduled time.

Important Notes:

  • Please ensure all presentations are the final version.
  • If you there are embedded fonts or media, please check them carefully and liaise with your session presenters if you identify any issues. Saving the presentation as a PDF can be a good backup option to preserve formatting and fonts, however, please be aware that all animations will be lost.
  • Computers in the session rooms will be running Windows 11 with Microsoft PowerPoint.

Poster Presentations

All posters must be in A0 (1189 mm x 841 mm) portrait format. We cannot accept landscape format posters as they will not fit within the poster presentation space. All poster presenters need to bring their printed posters with them to the conference and make sure they are displayed before the poster session. The poster presentation space will be available in the afternoon the day before the poster session. All poster presenters are responsible for hanging their posters and removing their posters. The poster session will be held in person.
